Child Protection Policy We are committed to securing the safety of every child who participates in our programmes. The central tenet of our Child Protection Policy is that we use the most effective method of online security, which is that ALL online activity is moderated. Every single written contribution is read at least twice, by moderators and tutors. Learners are constantly reminded that a Moderator is online, by being able to see the ‘Online Users’ list at the side of the page. Moderators look out for unusual activity, inappropriate language, inappropriate content, requests for personal information, volunteering personal information etc. All tutors and administrators are CRB checked. Our Child Protection procedures begin at the recruitment level, where we require the applicant to name the child’s school, headteacher, G&T coordinator, school address and school telephone number. Discussions between us and the headteacher or school coordinator are likely. Certificates are sent to the child’s school. Ongoing contact between us and the school is very likely. The learning platform links to www.thinkuknow.co.uk, the Child Exploitation and Online Protection Centre, so that learners have access to Safe Internet Practices Advice. Our Stay Safe Online instructions are as follows: Stick to these rules and you will be safe online 1. I will only use my first name 2. I will never give out my email address 3. I will never give out my home address 4. I will never give out my telephone number 5. I will respect others 6. I will not use rude or threatening words 7. I will be responsible for everything I write Privacy Policy According to the Data Protection Act 1998 we comply with eight principles of good information handling. These eight principles state that the data must be:
Information is kept solely for the purpose of enrolling children on courses, running those courses efficiently and informing parents about future courses. Parents can request that they are no longer informed of future events; in this case their data would be immediately removed from our records. Once children are too old for our course age-range, their details are removed from our records. We do not store financial details, electronically or otherwise. Where we are given credit card details in order to complete a booking transaction, the information is destroyed by shredding, immediately the transaction has gone through. Data Collection Policy In the process of enrolling children on our courses, we collect the parent’s name, address, email address, telephone number, child’s name, child’s school, child’s email address and the contact details for the child’s school. That information is kept on paper in the form of booking forms and electronically on our computer database. Our systems are backed up regularly and back-up storage is stored safely and securely. We only communicate with nominated contacts on booking forms, including the school contact and parents to agree to this policy as part of the booking procedure. This information is never shared with any third parties. We do not store credit/debit card details. Customers can contact us via office.olp@gmail.com in order to find out all of the information about them that we hold, and can then inform us of any inaccuracies or changes required to this information. Contact Policy We contact schools up to twice per term, to inform them of forthcoming courses and to ask them to distribute information sheets to parents. We inform them via email, using an email campaign manager such as SprintMail, and by post. We contact parents via email and postal mail in order to confirm bookings, present learning platform access information and to deliver certificates. We use email to communicate with parents about course material and the performance of children and inform them of details of forthcoming courses. Contact information is kept securely on paper and electronically and is never shared with third parties. Cancellation/Refund Policy We will refund a booking fee in full up to the point of the start of a course if the child, for whatever reason, cannot participate in the course. Such claims must be made before the start of the course. Once the course has started, if the child becomes unwell and can no longer participate, or if family circumstances are such that the child cannot participate in the course, we endeavour to find an alternative forthcoming course for the child. Once the child has completed the course, refunds are no longer appropriate. Where we have to cancel a course because of insufficient numbers enrolled, a full refund is given to those who have already booked and paid, without delay. The decision about whether a course runs is taken 14 days before the published commencement of the course.
